Senior Specialist, Engagement and Assistant Support

We are looking for a Senior Specialist, Engagement and Assistant Support to join Financial and Operational Procurement Services (FPS) in Gdansk. This is an excellent opportunity to join our dynamic team, where you'll play a crucial role in fostering effective engagement within our organization.
About the role
As a Senior Specialist in Engagement and Assistant Support, you will work closely with approximately 150 FPS team members on site. You will also collaborate with other stakeholders, FPS global teams, and internal visitors, directly impacting our FPS image and experience. Your primary responsibility will be supporting FPS internal communication, engagement activities and local stakeholder relations. You will provide high-level support across a wide range of administrative tasks. With a positive, can-do attitude, you are easy to work with and bring excellent organizational skills, strong communication abilities, and a proactive approach to problem-solving. You are reporting to Director, FPS Site Lead in Gdansk.
Main responsibilities:
- Manage internal communication and local stakeholder relations, including drafting and editing content for various channels (emails, newsletters, reports, presentations, etc.).
- Provide high-level administrative support to the FPS organization including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Assist in the preparation of reports, presentations, and other documentation as needed.
- Collaborate with team members to ensure timely and accurate completion of projects and tasks.
- Maintain and organize departmental records and files.
- Handle confidential information with discretion and professionalism.
- Support the department in various ad-hoc tasks and projects as required.
The location for this position is in Gdansk (Poland). We promote a hybrid work model.
About you
- You hold a Bachelor's degree in Communications, Business Administration, or a related field, and have at least 5 years of experience in a similar role, preferably within a corporate environment.
- You possess excellent communication skills in English, strong organizational and time management abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- You are a self-driven individual who takes full ownership of your role. With a structured and friendly working approach, you get things done efficiently and effectively.
